Transcript Requests

The Office of the Registrar maintains the academic records of currently enrolled students, past attendees (officially enrolled) and graduates. Coursework accepted to Paine and taken at Paine College are recorded on the academic transcript. Transcripts are disseminated in a manner consistent with FERPA. Therefore, transcript requests will be accepted from and transcripts issued to persons other than the student only when the student has submitted written, signed consent.

Unofficial Transcripts

Unofficial transcripts bear the watermark 'unofficial'. It is issued in an open or unsealed envelope.

Requests for Unofficial Transcripts

Currently Enrolled Students: Currently enrolled students can access and print unofficial transcripts at no cost by logging into the secure Paine.net. Should a student choose to request the unofficial transcript via another method, it will be processed at a cost of $10.00 per unofficial transcript. Additional costs may be applied depending on method of request, processing time and method of delivery. All Others: Unofficial transcript requests must be submitted by completing a transcript request form and submitting it to the Office of the Registrar. All forms require the signature of the former student for whom the transcript is being requested. Official Transcripts

Official transcripts are printed on security paper and bear the watermark seal of Paine College and the Signature of the Registrar. It is issued in a sealed envelope.

Requests for Official Transcripts

All Persons:

All requests for official transcripts must be submitted by completing a transcript request form and submitting it to the Office of the Registrar. All forms require the signature of the former student for whom the transcript is being requested. See ‘Methods of Transcript Request Submission and Forms of Payment for all Transcript Requests', on various methods by which the transcript request form and payment can be submitted. It will be processed at a cost of $10.00 per official transcript. Additional charges may apply for transcripts depending on method of request, processing time and method of delivery.

Methods of Transcript Request Submission and Forms of Payment for all Transcript Requests

Transcript Requests may be submitted and paid for via the following methods:

Online: Persons must complete the request using a secure internet equipped pc or hand-held devices with a mouse, touch screen, or mouse pad that allows for signature. Payment must be made using a valid accepted credit card. A minimal additional cost is incurred using this method of submission of transcript requests. Mail: Persons must complete and sign a Paine College Transcript Request Form. The form should be mailed via the US Postal Service and must include payment in the form of a money order or cashier's check (no personal checks accepted and do not send cash via the mail), made out to Paine College. Both transcript request form and payment should be mailed and addressed to:

Faxed Requests and Phone Payments: Effective March 20, 2015 transcript requests are no longer accepted via fax. Credit Card Payments are no longer accepted via telephone. All requests requiring a credit card must be made online using a valid accepted credit card. A minimal additional cost is incurred using this method of submission of transcript requests.

Processing time for all Transcript Requests

Requests for transcripts are processed in the order in which they are received. Business Office Clearance is required prior to the processing of all transcript requests. Processing time begins from the date the request is cleared by the Business Office. If payment and written request are received separately, the most recent date of both transactions is considered the beginning date of processing time frame. Processing time frames depend upon dates of attendance, method of delivery and rush processing options if available. Available at an additional cost as noted during online transcript ordering process or as noted on transcript request form * This processing time includes business days only and does not apply to instances of a holiday, school closing and or peak periods such as Registration and Commencement.

Delivery or Collection of all transcripts

Delivery:

Paine College assumes the responsibility of mailing, faxing and/or emailing transcripts by the final business day of the aforementioned processing time frames (with the exception as noted above), but does not assume responsibility for delivery of the transcript by the U.S Postal Service or other delivery methods such as federal express. Please note costs for delivery methods other than standard U.S. Postal delivery may be incurred in addition to the cost of the transcript. Requests for transcripts to be resent will require submission of a new request and payment. All processing times and payment policies still apply.

Collection:

Persons who require a transcript to be collected in person in lieu of mailing should note that transcripts will be held for 30 days only. After said time, submission of a new request and payment will be required. All processing times and payment policies still apply. Persons requiring a transcript to be collected by an individual other than themselves must note the name of the person on the signed transcript request form. Please note that upon retrieval, the individual will be required to provide official photo identification. Acceptable proof of identification includes but is not limited to a valid driver's license.
